We are happy that you made the decision to come on board! The transition process is fairly simple, here is an outline of how it works, what we need from you, and what you can leave to us.
Step One: Spreadsheet Verification
Upon receiving your credentials for your current gym management system, we will pull the necessary data to create a spreadsheet for you. We will send over our standardized spreadsheet for you to review and verify, or make any changes necessary. This spreadsheet is formatted specifically for us to import into TRIIB, so please do not change the column headers or order. We typically get this information to you within 1-2 business days of signup if you have provided your log in credentials.
What we need from you:
-Make any necessary changes to members and their plans, rates, discounts, etc. and send the file back to us as a .csv file.
-If someone is inactive, you can delete everything but their client ID, name, and email address.
-If someone is on hold, please leave their plan as is, you can go in and add their hold to TRIIB once the import is complete.
Either send us back the corrected file, or give us the green light to import!
Step Two: The Import!
Once we receive the corrected spreadsheet back from you (or the good graces on the one we sent), the file is sent to the import team to import into TRIIB. This typically takes 24-48 hours after the spreadsheet is verified.
We take the data that is on the spreadsheet and import it exactly as is into Triib. So, if everything was correct on the spreadsheet, it will all be correct in TRIIB.
Step Three: Verifying Reports
Once confirmation is received that your import has been completed, we will need to verify your a few different reports. The Upcoming Payments Report, the Membership Type Breakdown Report, and your Active Member report will all be sent to you via email to verify. This is a pertinent step in ensuring your member’s plans and billing dates are set up correctly.
What we need from you:
-Spend ample time reviewing these reports. Once you have confirmed that they are accurate, respond to our email with your blessing!
-If any corrections need to be made, please respond to the email listing out what needs to be added/removed/changed.
Step Three: Welcome Emails and GO LIVE.
Once we verify that your members and their invoices are good to go, it is time to get TRIIB rolled out to your clients and turn you live! Upon your confirmation of the reports, your credit card processing can be turned on SO LONG AS your billing information and liability waiver have been entered under TRIIB settings. We can send out your welcome email that provides their login credentials and prompts them to enter in their payment information, unless you'd like to send it out yourself. Your clients will then have access to log into Triib, RSVP for classes, log their workouts, etc.
We encourage you to give your members a heads up that you are changing systems and that they will be receiving an email that requires action. This helps ensure they get their information entered in a timely fashion.
